Main Activities and Responsibilities:
Reporting organisationally to the Client Services PMA Cluster Supervisors, the Client Services PMA Transport Coordinator will be a key member of the FIFA26 Event Transport team, and work in close collaboration with the Team Services Team, Operational Services Team and other key individuals responsible for delivering Transport Operations.
The Client Services PMA Transport Coordinator is responsible for the full scope of transport operations at an assigned Team Base Camp Hotel or Venue Specific Hotel, including the hotel and training site. This role ensures the seamless delivery of bus, fleet, and airport/FBO (Arrivals & Departures) services for participating teams, in strict alignment with FIFA service levels and operational procedures. The coordinator serves as the primary liaison between drivers, suppliers, the Team (Security) Liaison Officer (TLO/TSLO), airport authorities, and FIFA Transport, ensuring bubble-to-bubble operations, client satisfaction, and readiness at all times.
The main responsibilities and oversights of the Client Services PMA Transport Coordinator FIFA World Cup 26™ include:
Communication
- Maintain daily communication with Fleet, Bus, A&D, Venue Transport, Security, Logistics, and Client Services functions.
- Hold daily face-to-face meetings with TLO/TSLO to align on schedules, procedures, and driver management.
- Receive and inspect all vehicles before each shift, conducting driver briefings on daily activities and changes.
- Escalate issues immediately to ensure continuity of operations.
Client Services
- Act as the primary point of contact for TLO/TSLO at the TBC or Venue Specific Team Hotel.
- Ensure compliance with Service Level Agreements (SLAs) and all FIFA transport policies.
- Coordinate with TLO/TSLO to maintain strict bubble-to-bubble operations.
- Ensure load zones are available and maintained for all team activities.
- Support drivers in resolving operational issues, escalating when required to depot or FIFA transport.
- Liaise with training site and hotel staff, ensuring readiness of signage, cones, and transport infrastructure.
- Submit daily reports on concerns, incidents, and operational performance to the Client Services Cluster Supervisor.
Fleet & Bus Operations
- Manage daily driver check-in/out and shift scheduling at the TBCH or VSTH.
- Ensure Standard Operating Procedures (SOPs) are correctly reflected in TMM and followed by staff.
- Secure and manage staging areas, load zones, and parking at the TBC and training site or VSTH.
- Oversee all aspects of TMM system management, including last-minute schedule or vehicle changes.
- Validate/facilitate driver training, conduct test runs, and ensure familiarity with routes.
- Supervise drivers during shifts, ensuring compliance with procedures, grooming standards, and readiness.
- Ensure all vehicles are properly maintained, fueled, branded, equipped with VAAPs, and operationally ready.
- Provide accurate driver and vehicle information as required.
- Manage rate card requests in collaboration with TLO/TSLO.
- Coordinate with the depot team for vehicle/driver issues, including intercity and convoy movements.
- Liaise with Bus/Fleet and TSLO for convoy planning on all movements.
Arrivals & Departures (A&D) / FBO Operations
- Act as the on-site coordinator for all team arrivals and departures via airports and FBOs.
- Communicate with FBO teams, ACS, and airport authorities for vehicle staging and tarmac access.
- Ensure drivers know approved routes, timings, and positioning for FBO operations.
- Guarantee all vehicles are in position at least 60 minutes prior to ETA and properly briefed.
- Coordinate security convoys, logistic trucks, and family/friends rate card vehicles when applicable.
- Liaise with ACS for live convoy tracking and resolve any discrepancies on site.
- Inspect and establish SOPs for first international arrivals and last international departures, training colleagues in all procedures.
- Coordinate media access and badging for first arrivals, ensuring compliance with FBO/media protocols.
- Stay onsite until after ETD to confirm successful departures or resolve contingencies.
- Any other duties that may be required.
Education & Qualifications
- Bachelor’s degree in Event Management, Sports Management, Hotel Management, Project Management, Transport Operations, Logistics, or Hospitality, or equivalent experience.
- Knowledge of transport operations, guest services, or event logistics is an asset.
Work Experience
- Proven experience in Event transport, logistics, or operations, preferably at large-scale international events.
- Strong organizational skills with the ability to manage multiple stakeholders and staff under pressure.
- Experience supervising drivers, staff, or suppliers in a dynamic operational environment.
- Familiarity with transport systems (e.g., TMM) and airport/FBO procedures is a strong advantage.
- Experience working in a client-facing supervisory role within large-scale or high-profile events preferred.
- Strong interpersonal skills, proactive communication, and confidence in decision-making.
- Demonstrates the highest levels of integrity, professionalism, and commitment.
- Positive attitude, patience, and persistence in problem-solving.
- Strong cultural awareness and the ability to work in an international environment.
Languages
- Fluent in English. Spanish and/or French proficiency is a plus
- Spanish and/or French proficiency is a strong advantage given the tri-host nature of the tournament (USA–Canada–Mexico).
- Additional languages spoken by global client groups are a plus.
Technology
- Proficient in MS Office (Excel, Word, PowerPoint, Visio & Project) and planning software and online collaboration tools
